Users and administrative accounts

Creating, activating and maintaining users without automatically granting access to other mailboxes.

Create a user

From Admin → Users, choose the action to create a user. Enter the name, address or identifier, domain, initial role and temporary password according to policy. Confirm that the address is not already used by a mailbox or identity.

Deliver the temporary password over a protected channel. The user must change it on first sign-in.

Change account state

When an account must be suspended temporarily, disable it instead of deleting its history. Before final termination:

  1. review personal and team ownership;
  2. transfer required delegation permissions;
  3. decide the mailbox and retention outcome;
  4. revoke active sessions and tokens;
  5. record the reason.

Separate administrator identities

Do not use shared administrator accounts. Every operator should sign in with their own identity so the audit log can show who performed each action.
